Overview
GitHub is looking for an experienced Executive Assistant with a high attention to detail to support the Chief Operating Officer. This role is responsible for coordinating and planning executive scheduling, organizing and maintaining the Operations rhythm of business, supporting and planning large-scale trips, and overseeing workback schedules and necessary checkpoints for key tasks, among other administrative activities. You’ll be expected to make independent decisions as it relates to balancing meeting requests and urgent escalations, as well as drive efficiencies across the organization.
This role will report to the COO Chief of Staff and partner closely with stakeholders across the business. The position requires the ability to create and drive a project, such as a meeting, offsite, tradeshow, or team-building activity from start to finish. You’ll be expected to coordinate all travel arrangements as well as be onsite for specific engagements. The ideal candidate will be an analytically-minded, fast-paced, and detail-oriented individual that is excited to help us operationalize and streamline the business process and coordination of the Office of the COO.
Responsibilities
- Own and maintain executive’s calendar based on an understanding of business goals of business and executive needs. Make independent decisions to prioritize meeting requests and urgent escalations, while balancing the overall rhythm of business.
- Manage meeting/offsite logistics for consistent implementation, including workback schedules and necessary checkpoints, development of communication cascades, meeting notes and action items.
- Coordinate travel arrangements for executive and OCOO, including accommodations, transportation, required documentation, and communications to domestic and international stakeholders, as well as provide detailed itineraries and briefings for daily activities. Act as a stand-by resource during business travel.
- Represent the leader and act as an extension of the leader’s brand and GitHub’s core values through written and verbal messaging. Proactively communicate and act as a liaison between executives, central teams, and other business partners to share information and best practices that drive efficiency across organizations.
- Execute Operations rhythm of business in collaboration with Chief of Staff, maintaining an organization-wide calendar with key dates and deliverables, and ensuring accurate and timely communications for required activities (such as trainings, performance reviews, etc).
- Provide high-level guidance to address complex issues with meeting/offsite preparation and ensures problems are mitigated.
Qualifications
Required Qualifications:
- 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
- Ability to travel up to 50% to serve business or customer needs.
Preferred Qualifications:
- Ability to oversee compliance to various standards, procedures, rules, and regulations (i.e. gathering weekly reports from leaders).
- Ability to make decisions in a fast-paced, rapidly changing environment, defining and determining an appropriate resolution, recommendation, or decision.
- Ability to verify the accuracy and completeness of detailed information in documents and meeting requests.
- Ability to exercise judgment and discretion by showing an awareness of the likely consequences, the reactions of others, and the legal implications of one’s own actions.
Compensation Range
The base salary range for this job is USD $58,800.00 – USD $156,000.00 /Yr.
In addition, certain roles also have the opportunity to earn sales incentives based on revenue or utilization, depending on the terms of the plan and the employee’s role.
These pay ranges are intended to cover roles based across the United States. An individual’s base pay depends on various factors including geographical location and review of experience, knowledge, skills, abilities of the applicant. At GitHub certain roles are eligible for benefits and additional rewards, including annual bonus and stock. These rewards are allocated based on individual impact in role. In addition, certain roles also have the opportunity to earn sales incentives based on revenue or utilization, depending on the terms of the plan and the employee’s role.
